Privacy

We use personal information only for estate access credentialing at The Rand Estate. Access is never granted automatically. Volunteers review every application.

To ask for a copy of the personal information we hold about you, to correct it, to delete it where we no longer need it for this purpose, or to withdraw consent, email admin@therandestate.co.za. There is no self-service applicant portal for these requests.

Purpose

We collect and process your personal information to verify that you are entitled to estate access credentials (for example Fluss / gate mobile app access, Sussex pedestrian tags, and vehicle access stickers) for The Rand Estate, and to administer, renew, or revoke that access.

Purpose limitation. We use your personal information only for estate access credentialing and related administration at The Rand Estate, not for unrelated marketing, profiling, or any purpose outside this application.

Responsible party

The Rand Estate Estate administration (contact: admin@therandestate.co.za) is responsible for this application process and decides whether access is granted.

What we may check. Depending on the stage of our process, we may:

  • Confirm your identity against an official ID document (name and ID number / passport details as provided)
  • Use a face / liveness check via Didit (https://didit.me). This is only to confirm you are a real person matching the application, not a criminal-record search.
  • Review proof of address / residence for the unit you claim
  • Confirm you control the phone number you give us (for example one-time PIN / OTP or a callback)

We do not run criminal-background scrapes or credit checks as part of this gate-access process.

Recipients

Your information may be accessed by:

  • The Rand Estate administration (the people who handle this application and decide whether access is granted).
  • Our verification vendor: Didit (https://didit.me), under their terms and our instructions.
  • Fluss (Atterbury gate mobile app access provider) when an invite is issued, limited to the contact details needed to provision gate access.

We do not sell, rent, or trade your personal information to third parties for their own marketing or unrelated purposes.

Retention.

Identity / liveness artefacts at our verification vendor (Didit, https://didit.me) are deleted after one month. This application does not store ID images. We keep application and access records while we manage your credential, then delete or de-identify them. Closed or stalled applications are removed from this system after 12 months by a manual ops prune. Access credentials may expire or be revoked sooner (for example lease end, sale, or withdrawal).

Refuse or revoke

You may refuse to provide information or to complete verification; we may then be unable to issue or keep gate access. You may withdraw consent or ask us to stop processing for this purpose by contacting estate administration at admin@therandestate.co.za. Withdrawal may mean we revoke existing access. You may also lodge a complaint with the Information Regulator (South Africa) where applicable.
